Choosing the right IT consultant for your business

Finding the right IT consultant can make or break your technology experience as a small business. A good consultant saves you time, money, and headaches. A bad one creates new problems while supposedly fixing old ones. Here’s what I’ve learned in over 17 years of working with small businesses across Tuscany and beyond.

What to look for

1. They listen before they sell

A good IT consultant starts by understanding your business, your workflows, and your actual needs. If someone is pushing a specific product or solution before they even know what software you use, that’s a red flag. Technology should serve your business goals, not the other way around.

2. They speak your language

Technical jargon has its place, but your IT consultant should be able to explain things in plain terms. If you leave a meeting more confused than when it started, something is wrong. You should understand what’s being done, why, and what it means for your daily work.

3. They think long-term

Quick fixes are sometimes necessary, but a good consultant also helps you plan ahead. They’ll recommend solutions that scale with your business, suggest preventive measures (like proper backups), and help you avoid costly emergency interventions down the road.

4. They’re transparent about costs

No hidden fees, no surprise charges. A trustworthy consultant gives you clear estimates, explains what’s included, and lets you know upfront if a project might cost more than initially expected. If someone can’t give you a ballpark figure, be cautious.

Freelancer vs. IT company

Both have their merits. A freelance consultant typically offers more personal attention, flexibility, and often lower rates. An IT company can provide broader coverage and 24/7 support for larger operations. For most small businesses with fewer than 50 employees, a dedicated freelance consultant is often the best fit — you get a single point of contact who truly knows your setup.

Questions to ask before hiring

  • What’s your experience with businesses similar to mine?
  • How do you handle emergencies outside business hours?
  • Can you provide references from current clients?
  • What does your typical response time look like?
  • Do you offer ongoing support or just one-time projects?
